Beginning with the November 2008 revision of DASD Policy 800: Records Management, the District has been crafting, with the Fox Rothschild Law firm, its implementation  guidelines for the maintenance and storage of records. An important aspect of that policy, found on page 6, discusses email records. Most emails, however, are simply messages and are not records that need to be stored. For an email to be considered a "record," the contents must have specific relevance as covered in the district’s Record Management Plan found in Policy 800 AR-1.

Emails sent or received in the district do not need to be saved because these are not "records." Therefore, as of January 1st, the district will no longer archive email messages and the system will begin to automatically delete an email after 365 days from the date of the email. If you feel the contents of an email should be saved, please follow the process found in Content Conversion to save it.
